This is a quick and simple guide to set and start working with Capacity Tracker. For details, please use other reference material available in this user manual.

A simple 5 steps process:

Step 1: Installation

• Capacity Tracker license management and distribution is managed through Atlassian.

Step 2: Capacity Tracker Admin Settings

• Jira Permissions are set “disabled” as defaults. This will allow all your Jira instance users to access Capacity Tracker without any restrictions.

• If you want to implement more stringent access control for Capacity Tracker then only “Enable” Jira Permissions. This step will require you to have Jira Administrative privileges and also assumes you know how permissions and access control works in Jira.

• Refer to the instructions and guidelines documented in Permissions to execute the follow up steps and set the appropriate permissions and access grants.

Step 3: Capacity Tracker Configurations

• Setup board configurations:

  • Capacity Type (Unit of capacity measurement)

    • If you choose Capacity type as “Hours“, then team member’s daily capacity and work estimation both are referred in hours. Remember, we always use Jira’s “Remaining Estimate“ field for estimated remaining work.

    • If you choose Capacity type as “Story Points”, then team member’s daily capacity considered to be set as StoryPoint/Day. The work estimation will be calculated on the “Story Point“ field.

  • Set the default Working Days for the team

  • Add Team Holidays

• Setup member configurations:

  • Assign Role

  • Keep the default working days or customize them based on your project arrangement.

  • Add team member’s unavailability i.e. days off

  • Set daily capacity (availability).

Step 4: Work Breakdown, Estimation and Assignment

In no specific order, but work estimation and assignments are essential to a meaningful Capacity tracking.

5.1: Capacity Tracking

• Review work distribution and allocation for the current or future iterations. Use this opportunity to review, identify and adjust work allocation based on the availability of the team members.

• As sprint/version progresses, you will be able to see the latest statistic on Capacity Tracker.

5.2: Review Work Allocation

5.4: Aggregated Capacity Tracking Across Sprints

• You can not only create and track future sprints but also can create multiple active sprints in a single project board.

• If you want to track sprints spanning multiple projects, then create a new board that includes projects you are interested in tracking together.
